To better assess the tent size you need and to better adapt it to your event, we have prepared some tips and suggestions for you.
Key points when choosing the tent location:
- Exact dates of tent assembly and dismantling (take into account the actual duration of assembly and dismantling works);
- Surface at the tent location (lawn, concrete, tiles, field, sand, etc. – it affects the choice of fasteners;
- The foundation of the tent (it has to be even – height difference must not exceed 10 cm);
- Power and water connections (if you need electric equipment, lighting, heating, water, etc. for your event);
- Available and suitable access roads for the delivery of the tent to its planned location, so that the assembly time is observed;
- Sufficient space for the tent (sufficient floor surface, wall and gable height);
Key points when assembling the tent:
- The specified price also includes the assembly and dismantling of tent by our professional workers;
- Tents can be ordered to any location in Latvia; however you will be required to cover the transport costs, which are LVL 0.25-0.35 per km for objects outside Riga;
- Prepare a plan of the tent location, specify its location in relation to other buildings and objects, consider the entrance and exit points and window directions to avoid unnecessary misunderstandings.
The number of people in the tent:
- If you are planning an active event, one person requires approximately 1 5-2 m2 to feel comfortable;
- If you are organising a banquet, take into account that the furniture will take extra space, thus the tent should be bigger.
If you are planning to set up the tent in the cold autumn, spring or winter months, take into account the following:
- Tent heating using special UFO heaters, which channel the heat directly to the object and are much more efficient;
- The available UFO heaters are much more reliable than similar gas burner heaters and do not require continuous replacement of gas bottles. The capacity of each heater is 2kW;
- In extreme temperatures below -15°, it is possible that a tent cannot be set up – the PVC material can be too fragile.
When planning tent setup, consider the following legal aspects:
- Need for door-passes at the site of the tent (if needed, the assembly crew should receive door-passes in advance);
- Need for approval from the local authorities concerning the installation of the tent and staging of the event;
- Need for insurance of the event and equipment;
- Need for security services (for example, to secure against damage of the tent, which is a liability of the lessee);
- Need for a fire extinguisher (taking into account the specifics of the event where heating or electrical equipment is used);
- Notification of the local police about the event.
Other tips for your event:
- Use of portable toilets;
- Need for waste disposal services;
- Ensuring the presence of an ambulance;
- Ensuring access to public events for people with disabilities.
If you still have any questions, please contact the employees of SIA Tent For Event Baltic, who will be happy to answer your queries.
When you have assessed all the factors and chosen a tent for your event, we suggest you book the tent and equipment at least two weeks before your event. Booking in advance will guarantee that we have the type of tent you need in our warehouse or will be able to deliver it from the main warehouse in Sweden.
